Welcome to the CIVA team
Your agreement is signed — welcome aboard. Work through the steps below in order, and you'll be ready for your first practice assignment.
Your onboarding steps
Please complete these within your first few days.
Read the Welcome & Onboarding Guide
Everything about how CIVA operates — expectations, communication, HIPAA, and how we support our practices. LPN/LVNs: please also review Appendix A.

Watch for an email invite from Gusto. You'll complete your W-9, set up direct deposit, and — for nurses — upload your current license.
Accept your Toggl invite
Toggl is how we track all time worked, and it feeds payroll. Track every task to the correct practice from day one.

Our training library is organized by EMR system. Start with the systems used at your assigned practice.
Open trainingPractice access & your start
Celenia will introduce you to your practice and coordinate the access you need for that practice's systems. Please don't request access from a practice directly.
How we work
Async-first
Work from your practice's queues and inboxes, keep things moving, and communicate in writing so every handoff is clear.
Messaging conventions
Each practice uses its own messaging platform. Flag only truly urgent items as urgent, and assign or route everything else to the right person by name.
Ask when unsure
If a task, request, or workflow isn't clear, reach out to Celenia before acting. Getting it right matters more than getting it done fast.
CIVA's practices
Every practice is a CIVA client. Questions about scope, hours, or the relationship come to Celenia, not the provider.
Time & pay
| Time tracking | Toggl is our system of record — track all time to the correct practice. |
